Who we are

HandsomeDog Studio (“we,” “us,” “our”) operates applicationgenie.com (the “Service”), a web application that helps registered users set job search criteria, discover opportunities, maintain candidate profiles and documents, and use assisted tools to generate tailored application materials.

Scope

This policy describes how we collect, use, store, and share personal information when you use the Service. If you do not agree, please do not use the Service.

Information we collect

Account and profile

We collect information you provide when you register or use the Service—such as name, email address, login credentials, and profile fields you submit (for example employment history, skills, education, location and preferences).

Search criteria

We store the search and filtering preferences you configure in the Service (for example roles, keywords, locations, compensation preferences, and similar fields) to run discovery features you request.

Documents and content you upload

We process files and text you provide—such as résumés, cover letters, and other documents you attach to your account or link to specific opportunities.

Job opportunities and your interactions with them

We store information about job postings surfaced in the Service (including metadata such as titles, employers, locations, and links) and your interactions with them (for example saved status or pipeline stage).

We may store structured or summary fields from job APIs in our database to power lists, details, and deduplication.

Communications

If you contact us, we retain the content of those messages and our responses as needed to assist you.

Technical and security data

Like most web applications, we collect technical data related to operation and security—such as IP address, browser type, device information, timestamps, request routing information where applicable, and security logs.

Usage and operations data (first party)

The Service records authenticated product and operations events on our systems for purposes including reliability, security, fraud and abuse prevention, understanding feature use, and estimating third-party API cost. Depending on how you use the Service, this may include records such as successful logins, views of opportunity details, interactions with certain tabs or workflows, “find jobs” runs and outcomes, résumé-import attempts and outcomes, and document customization success or failure. Some records include identifiers such as your user id and related entity ids used in the product.

These events are not third-party advertising trackers; they are generated by our application and stored in our database for admin reporting and operational needs.

Automated checks of external job URLs

To help keep opportunities accurate, the Service may automatically send HTTP requests (for example HEAD or GET) to external job posting URLs linked from saved opportunities, using an identifiable user-agent string. This checks whether a listing may no longer be published (for example HTTP 404/410). Those requests are directed to third-party sites’ URLs and may appear in those sites’ logs.

How we use your information

We use personal information to:

  • Provide, operate, maintain, and improve the Service
  • Authenticate users and maintain accounts
  • Run job discovery and related features you request
  • Generate or assist with tailored documents when you use those features
  • Maintain security, monitor reliability, prevent abuse, and troubleshoot issues
  • Support internal reporting for administrators (including usage and estimated third-party cost)
  • Comply with legal obligations and enforce our terms

We do not sell your personal information.

Automated decision-making

The Service uses software rules and assisted generation features to organize workflows and produce drafts. It does not make solely automated decisions with legal or similarly significant effects about you beyond what is typical for account, security, and product operation features.

AI services (Anthropic)

When you use assisted features, relevant portions of your content (for example résumé text, cover letter content, job description excerpts, and instructions needed to generate tailored outputs) may be sent to Anthropic (Claude) for processing. This includes, for example:

  • assisted population of your candidate profile from a résumé you upload or paste, when you choose that onboarding path
  • customized résumé/cover outputs for a specific opportunity when you run customization

Anthropic’s handling of data sent to its APIs is governed by Anthropic’s terms and policies.

Job listing data providers (TheirStack, JSearch / RapidAPI)

When you use “find jobs” or related discovery features, we send query parameters derived from your criteria and candidate profile fields to third-party job data APIs to retrieve matching listings. Depending on configuration, this may include providers such as:

  • TheirStack
  • JSearch, accessed via RapidAPI

We display listings and metadata within the Service. Employers and third-party sites have their own privacy practices for postings hosted outside our Service.

Hosting, subprocessors, and integrations

We use hosting providers and technology vendors to run the Service (for example servers, databases, networking, deployment, and related infrastructure) who process data on our behalf as needed to operate the site.

Depending on features you use, personal information may also be processed by the service providers named above (Anthropic; TheirStack; JSearch/RapidAPI). A current list of key subprocessors for the Service may be provided on request or published on the site.

Legal bases (if applicable)

If the law in your region requires a “legal basis” (for example under GDPR), we rely on: performing our contract with you; our legitimate interests in operating, securing, and improving the Service (balanced against your rights); and compliance with law, as applicable. Where consent is required (for example certain cookies or optional processing), we will obtain it as required.

Cookies and similar technologies

We use cookies and similar technologies needed for the site to function—including session and authentication cookies for logged-in users.

Unless we deploy separate optional analytics or marketing technologies and present a control or notice where required, we do not use third-party advertising cookies as part of the Service’s core operation.

Retention

We retain personal information as long as needed to provide the Service and for legitimate operational purposes (including security, backups, dispute resolution, and compliance). Some internal usage and operations records may be retained while your account exists unless you or we delete data the product supports deleting. Some records may persist for a limited time in backups and logs. Aggregated or de-identified information may be retained longer.

If you delete your account or we delete it through an established cancellation process, we will delete or anonymize personal information we hold as part of that process, subject to legal retention requirements.

Security

We implement reasonable technical and organizational measures designed to protect personal information. No method of transmission or storage is completely secure.

Your rights and choices

Depending on where you live, you may have rights to access, correct, delete, or export your personal information; object to or restrict certain processing; or withdraw consent where processing is consent-based. You may also have the right to lodge a complaint with a supervisory authority.

International transfers

If you access the Service from outside the country where our servers or vendors are located, your information may be transferred to and processed in those countries (including the United States). Where required, we use appropriate safeguards for such transfers.

Children

The Service is intended for adults managing a professional job search and is not intended for children under 16. We do not knowingly collect personal information from children under that age.

Changes

We may update this policy from time to time. We will post the revised version with a new “Last updated” date and, where appropriate, notify you by email or through the Service.
